You choose a daily send time (anywhere from 6 AM to 6 PM in your timezone) and AR Badger sends all scheduled reminders at that time each day. This keeps outreach consistent and professional — your customers always hear from you during business hours.
That’s completely up to you. AR Badger comes with several built-in strategies — weekly, bi-weekly, escalating, and more — or you can create a fully custom schedule. Each strategy is made up of phases with their own frequency, so you can start gentle (e.g. every 7 days) and ramp up as an invoice ages. You’re always in control of the cadence.
This is the most common concern we hear, and it’s a good one. Here’s what we’ve found works best: start with the "Weekly" or "Bi-Weekly" strategy, which sends polite, friendly reminders at a pace your customers won’t find aggressive. AR Badger’s AI writes each message in a warm, professional tone — not a robotic payment demand. You can preview every tone level before enabling it. And if a customer replies with frustration or a dispute, the system automatically flags it for your review instead of responding on its own. The result for most users is that customers actually appreciate the clear, consistent communication.
AR Badger offers five carefully calibrated tone levels — Friendly, Professional, Firm, Urgent, and Legal — and you choose which tone is used at each stage of your collection process. You can preview real sample messages for every tone before you enable it. The AI never goes beyond the tone level you’ve set, and you can require manual approval for any response before it’s sent.
Each phase in your collection strategy has its own tone setting. For example, you might start with "Friendly" for the first week after an invoice is due, move to "Professional" after two weeks, and escalate to "Firm" after 30 days. The AI generates each message to match that tone — from a warm, conversational nudge all the way to a formal final notice. You set the tone per phase, per channel (email, text, voicemail), so you have full control over how your brand sounds at every stage.
You choose the AI agent’s operating mode. In "Autonomous" mode, the AI reads inbound replies and auto-responds within guardrails you set — like a maximum invoice amount or days overdue. In "Assisted" mode, the AI drafts a response for you to approve before anything is sent. In "Escalation Only" mode, the AI analyzes replies and flags them for you without sending anything. Disputes, frustrated customers, and messages containing legal keywords are always escalated for human review, regardless of mode.
You can pause at three levels. Globally: a single toggle in Settings stops all automated sending instantly. Per customer: from any customer’s detail page, pause for 7, 14, or 30 days, or indefinitely, and resume anytime. Per invoice: snooze an individual invoice for 3, 7, or 30 days, pause its automation separately, or exclude it from AR Badger entirely. You’re never locked in — pausing and resuming takes one click.
All customer replies are captured and shown in three places: your main Dashboard inbox, the individual customer’s detail page, and the Automations activity log. The AI analyzes each reply to detect intent (payment confirmation, question, dispute, extension request) and sentiment, then either responds according to your settings or flags it for your review. Nothing falls through the cracks.
We use industry-standard encryption in transit and at rest, and we never store sensitive payment information — all payment processing is handled by Stripe. Your QuickBooks connection uses OAuth 2.0, so we never see or store your QuickBooks password. We follow SOC 2 compliance standards and conduct regular security audits.
